- Create OGo accounts for employees
- Import Outlook data into OGo [The steps below in this second section don't apply anymore. In our initial testing and before the actual migration, dragging and dropping contacts from Outlook's Personal Folder into OGo didn't copy all information. When we did the actual migration, I discovered that in fact everything had been copied. For example, the 'Notes' field was always empty after dragging and dropping contacts into OGo. Clicking around in the notes field, I found the cursor was showing up in different areas of the 'Notes' field. I tried highlighting the spaces, and viola, the notes were revealed. It turns out that for some reason copying the contacts into OGo changed the colour of the text to white. Changing it back to black, saving the contact, and reopening revealed that the 'Notes' stayed white. At this point, we're not sure if it's an Outlook issue, or an OGo issue. In any case, I left the steps below in, even though they don't apply anymore.]

Detailed Steps for Migration
- Create OGo accounts for employees
- Determine which users will require OGo accounts
- The following information is required to create the accounts:
- Login (first character of first name plus last name)
- Name (last name)
- Firstname (first name)
- Email 1 (primary email address)
- Nickname (nick name is optional)
- New users must be assigned a Team
- Determine if particular Teams are required. If not, use the default 'all intranet' Team
- Create new user password
- Use the new user's Login as the temporary password
- Import Outlook data into OGo
- When the Contacts are copied into OGo, not all of the Contact fields will be imported. Before copying:
- Export Outlook Contacts into a CSV file
- Review all fields and highlight Contacts with 'extra' information, such as:
- secondary phone numbers, addresses etc.
- notes
- Users must be involved during this process
- After non-compatible Contacts have been highlighted:
- Select all contacts
- Drag and drop into OGo -> Public -> All Contacts
- As noted above, non-compatible Contacts will have lost some information. To recover lost info:
- Copy data from highlighted contacts in CSV file into the new OGo contacts
- Verify all Contacts have been copied into OGo successfully
- When the Contacts are copied into OGo, not all of the Contact fields will be imported. Before copying:
- Import Outlook emails into Email server
- Setting up Imap folders in Outlook and moving emails from Personal folders into the Imap folder.
- Testing
- OGo testing will consist of:
- Creating/changing contacts, tasks and meetings
- Deleting contacts, tasks and meetings (Creation/alteration/deletion of contacts, tasks and meetings should not cause any problems.)
- Logging into OGo WebUI to see if contacts, tasks, meetings created/altered/deleted in Outlook appear in WebUI
- Logging into OGo email interface to ensure that OGo has access to and can send and receive email with Imap email server.
- OGo testing will consist of:
- Informal OGo Training
- Show users what each OGo folder in Outlook is for and how to use them.
- Show users how to access OGo WebUI login page
- Briefly point out the sections of the WebUI. The important sections:
- Contacts
- Enterprises
- Schedule (Calendar)
- Have user change his OGo WebUI password
- Give user OGo's root user (the administrator) password
- Create OGo accounts for employees
